Understand Core Reports: Class Hours, Attendance, Renewals, Remaining Tuition and Income

Artstep Web and Artstep Pro provide academic and financial data for understanding day-to-day school operations.

The data visible to each user depends on Role / Permission and the services enabled for the school.

Start with the correct Time Range

Reports are generally calculated for the selected period.

Current report filters include:

  • Last 7 days;
  • Last 30 days;
  • This month;
  • Past month;
  • Custom.

The product can also show Data as of.

Before comparing metrics, make sure they use the same Time Range.

1. Class Hours

Current Artstep Pro definitions include:

  • Planned Hours — expected hours from scheduled Classes + manually recorded hours for unscheduled activities;
  • Actual Hours — Attended Hours + Manual Hours + Other Hours;
  • Attended Hours — consumed hours for Students recorded as Present in scheduled Classes;
  • Manual Hours — hours created through Manual Deduction for unscheduled activities;
  • Other Hours — actual hours for Leave, Absent or Make-up according to school policies;
  • Completion Rate — Actual Hours / Planned Hours.

Class Hours measure Course consumption. They are not the same as Attendance.

2. Attendance

Core metrics include:

  • Planned Attendance — expected Student attendances;
  • Actual Attendance — Students recorded as normal Present attendance;
  • Leave — recorded Leave attendances;
  • Absent — recorded absences;
  • Attendance Rate — Actual Attendance / Planned Attendance.

A Student can therefore be recorded as Leave / Absent while Credit Consumption may or may not occur according to the school's rules.

That is why Attendance and Class Hours must be reviewed separately.

3. Renewals

Current renewal reporting includes:

  • Pending Renewal;
  • Renewed Students;
  • Renewal Rate.

Renewal Rate compares the Students who fall into the renewal population with those who have completed Renew.

Which Students become Pending Renewal depends on the school's Renewal Alerts, such as:

  • Remaining Hours;
  • Remaining Valid Until.

4. Remaining Tuition / Remaining Hours

Current finance data includes:

  • Current Remaining Tuition;
  • Current Remaining Hours.

These represent Course value and Credit Hours that remain unconsumed at the current system time.

Remember:

  • By Hour Courses use Remaining Credit Hours;
  • By Term Courses are not charged by Credit Hours and should not be interpreted using the same Remaining Hours logic.

Remaining Tuition is also not the school's bank-account cash balance.

5. Cash Income

The current Artstep Pro data description explicitly defines Cash Income = Course Income.

Course Income can be generated by Course transactions such as:

  • New Enrollment;
  • Renew;
  • Course Expansion;
  • Course Transfer.

Cash Income focuses on the payment / cash-inflow dimension.

6. Recognized Income

Recognized Income is different from Cash Income.

The current Artstep Pro definition is:

Total Recognized Income = Class Income + Close-Course Income + Service Fees

Where:

  • Class Income — tuition recognized through actual Course consumption;
  • Close-Course Income — income recognized when remaining Course rights are ended/written off through Close Course;
  • Service Fees — fees generated from operations such as Course Withdraw / Transfer.

Therefore:

the time cash is received and the time income is recognized can be different business events.

7. Expenses

Current reporting also distinguishes:

  • Course Expenses — Course-related cash outflows such as Withdraw / Transfer;
  • Operational Expenses — operational spending recorded through expense workflows;
  • Total Expenses.

Three distinctions to keep clear

Do not confuse:

  1. Attendance vs Class Hours;
  2. Cash Income vs Recognized Income;
  3. Remaining Tuition vs actual cash balance.
