Close Course ends the Student's current Course and processes the remaining unused Course rights.
It is different from:
- Suspend Course — temporary pause;
- Transfer Course — move Course rights into another Course;
- Withdraw Course — withdraw and process a Refund;
- Close Class — close a Class, not an individual Student's Course.
What happens when a Course is closed?
The current product explicitly states that:
remaining Credit Hours and remaining Course Duration are written off/ended, and the corresponding remaining Course value is recognized as school income.
This action is irreversible. Treat it as a formal Course-rights and financial lifecycle action, not a simple status change.
For a By Hour Course, review:
- Remaining Hours;
- Remaining Tuition;
- Unit Price.
For a By Term Course, review:
- Remaining Course Duration;
- Valid Until;
- Course Fee / Remaining Tuition.
When should you use Close Course?
Use it when the business meaning is:
- the Student has completed or is ending the Course;
- remaining rights should not be transferred to another Course;
- no normal withdrawal/refund of the remaining tuition is required;
- the school needs to formally end the remaining Course rights.
If the Student is only pausing temporarily, use Suspend Course.
If remaining tuition should be refunded, first determine whether Withdraw Course is the correct workflow.
Cases where Withdraw Course is not available
The current product explicitly includes a case where:
- the actual consumed Credit Hour amount exceeds the Paid Tuition;
- Withdraw Course cannot be processed;
- if the Course still needs to end, Artstep directs staff to Course Completion / Close Course.
Close Course and Withdraw Course therefore have very different financial effects.
Close the Course
- open the Student's Course;
- select
Close Course; - review Remaining Hours / Remaining Tuition or Course Duration;
- select the
Course Completion Date; - add Notes if needed;
- review the irreversible effect;
- confirm.
Expected result
The Course enters the Course Ended state.
Remaining Course rights are ended according to the Close Course rules, and the related amount is reflected in Close-Course Income / Recognized Income.
