Renew a Student or Add Courses

Artstep treats Renew and Course Expansion as separate Enrollment types.

Artstep treats Renew and Course Expansion as separate Enrollment types.

A practical way to understand them is:

  • Renew — purchase additional course rights for a Course the Student is already studying;
  • Course Expansion — add another enrolled Course for an existing Student.

Both use the Enrollment workflow and create a new Invoice.

Renew a Student

You can start from Enroll/Renew in Student Details or click Renew from the Pending Renewal list.

When the workflow is opened from the Pending Renewal list, the current system enters Renew mode directly and does not switch to another Enrollment type.

  1. Confirm the Student and Course being renewed.
  2. Review the Fee Plan.
  3. Complete the fields required by the charging model:
    • By Hour: Paid Hours, Complimentary Hours, discounts, etc.;
    • By Term: the new Course Duration / validity period.
  4. Review the Class assignment if needed.
  5. Review the amount.
  6. Click Confirm and Submit Invoice.

Add Courses with Course Expansion

Use Course Expansion when an active Student needs to enroll in an additional Course.

The current Web does not allow Historical Students to use Course Expansion. Start this workflow from an active Student record.

  1. Open the Student's Enroll/Renew workflow.
  2. Select Course Expansion.
  3. Add the new Course.
  4. Select the Fee Plan.
  5. Complete Credit Hours / Course Duration and discounts.
  6. Select a Class if needed.
  7. Submit the Invoice.

By Hour and By Term Courses cannot be mixed in the same Enrollment submission.

Renew vs Course Expansion

Renew normally continues an existing enrolled Course. Course Expansion adds another Course to the Student's enrollment.

Although both use the same Enrollment page, Artstep records them as different business types.

If the Student is purchasing more rights for the same Course, use Renew rather than treating the same Course as a new Course Expansion.

Complimentary Hours

If the transaction includes Complimentary Hours:

  • unit price is 0;
  • they are non-refundable;
  • they are non-transferable.

Expected result

After submission, Artstep creates the related Course Invoice and updates the Student's course rights.
