A Role controls which actions a group of users can perform in Artstep.
Because the same Role can be assigned to multiple staff accounts, changing a Role changes permissions for every user currently assigned to that Role.
Open Role Permissions
In Artstep Web, open Role Permissions from the staff / organization settings area.
The left-side menu is loaded dynamically for the current campus and user permissions, so the visible menu hierarchy can vary by Role.
Add a Role
- In the
User Rolesarea, clickAdd New. - Enter a role name.
- Confirm the new role.
A practical approach is to create Roles around actual responsibilities—such as campus administration, academics, finance or teaching—instead of creating a unique Role for every staff member.
Configure Role Permissions
- Select the Role from the role list.
- Review the permission tree under
Role Permissions. - Select the menus and actions that the Role should be able to use.
- Click
Confirm.
The current product explicitly states that permission changes take effect immediately after confirmation.
Modify an existing Role
You can:
- rename a Role;
- change its permissions;
- delete a Role that is no longer required.
Important rules
Changing a Role changes permissions for all user accounts currently assigned to that Role.
Before removing permissions or deleting a Role, confirm which staff members are using it.
Also note:
- Role permissions affect visible menus and available actions;
- a feature may exist in Artstep but remain hidden or unavailable if the Role does not include the required permission;
- some features also depend on whether the school has enabled the relevant service, so permission alone does not guarantee that every feature will appear.
Recommended approach
For the initial setup, start with a small number of clearly defined Roles and refine them as needed.
For example:
- Administrator
- Academic Staff
- Finance Staff
- Teacher
These are examples only. Schools can name Roles according to their own organization structure.
